Capital asset historical data now in Kuali

Good news -- the historical capital asset database has now been loaded into Kuali! This will bring a whole new level of visibility to campus equipment that has never been present before. Any Kuali user can now look up the capital assets on campus.

Here are some of the benefits:

Reutilization:

  • Search on building/room to get a list of equipment by location.
  • Search on model or manufacturer to see if another department has equipment to borrow.
  • Search on the Surplus Department number 6026 to see what capital assets are for sale.

Reporting:

  • Departments can look up their own equipment anytime.
  • Look up the asset by the Requisition, PO number, account, object code or amount.
  • Soon eThority and ODS asset tables will be released for departmental reporting needs.

Electronic Documents:

  • Asset Location Global document - replaces the paper Location Change form. Quickly enter lab moves or room changes.
  • Loan Document - replaces the paper Check - out form for off-campus equipment.
  • Transfer Document - replaces the paper EACR form for capital Assets and is now used to report equipment to Surplus Property for removal. (Note: a future enhancement for electronically reporting all other non-capital items to Surplus Property is in the works.)
  • Retirement Document - replaces the paper EACR form for capital Assets.
  • Asset Global Add document - allows departments to enter non-capital assets for tracking.

Please use the updated KFS Training site, located on the CAP portal, to experiment with the new capabilities of the Capital Asset system.
