Open sessions regarding potential changes to email, calendar providers

A committee tasked with investigating the possibility of outsourcing faculty and staff email and calendaring is hosting presentations by potential providers.

KeyboardThe presentations will be from 1-3:30 p.m., Wednesday, October 17, in the Grey Rock Room, Lory Student Center.

The presentations are open to all faculty and staff and are designed to familiarize campus with two key outsourcing options being considered by the committee -- Google Apps for Education and Microsoft’s Office 365 -- although the committee has not ruled out other solutions. 

Feedback needed

The presentations also are an opportunity for CSU employees to provide feedback and suggestions related to the committee’s charge. Also, anyone wishing to submit opinion directly to the committee may do so by sending comments to iac-email@colostate.edu

The university is considering alternative service providers for a number of reasons. At this time, Academic Computing and Networking Services provides email, calendaring and voice mail services to CSU faculty and staff. Transferring at least some of those services to an outside provider, at no cost to CSU, will allow ACNS to apply its limited resources to other critical support services for the university. In addition, an outside provider can offer more up-to-date technology than on-site services.

Transferring services to an outside provider also would reduce costs to the university that are currently accrued for computer power, software licensing and oversight of systems. Costs to provide these services in-house are expected to continue to rise.

Outside vendor services also would increase users’ email quota by more than 10 times and provide more effective spam and virus filtering.

All of the solutions being considered also would allow employees to keep their email addresses (first.lastname@colostate.edu). Appointments and other calendar information would also be transferred.
